Processing Your eBay Orders

Once you have successfully given your store access to the eBay API, configured your eBay Integration settings, created your eBay Listing Templates, and listed items on your eBay account, you will then be ready to process your eBay orders.

As orders and auctions are completed on your eBay listings, the integration will also bring those orders into your Shift4Shop store's Online Store Manager. Once in your Shift4Shop store, you may review, process and ship your orders as usual.

Note
If you've configured your settings to also pull all of your ebay orders, the system will also import your non-Shift4Shop orders as well (up to 90-days) into the Shift4Shop Online Store Manager.

To see all of your eBay orders:

  1. Log into your Shift4Shop Online Store Manager
  2. Using the left hand navigation menu, go to Modules
  3. Use the search bar at the top and search for "eBay" to view and expand the eBay module
  4. Click on "Manage Listings"
  5. Look to the top right and click on the "Show eBay Orders" button to view all orders.

To see individual listing eBay orders:

  1. Log into your Shift4Shop Online Store Manager
  2. Using the left hand navigation menu, go to Modules
  3. Use the search bar at the top and search for "eBay" to view and expand the eBay module
  4. Click on "Manage Listings"

Here you will see a page displaying all of your current and historical listings on eBay.

  • If you have many listings, you can use the page's search filter at the top to narrow your view of the listings based on status, keywords, or specific date ranges.
  • Furthermore, as the listings are displayed, they can be sorted by the name of the product, number of bids, listing type, dates and statuses.
  • You also have the ability to end or re-list items as needed, directly from this page.
  1. Click on a listing to review its information.

As orders for the item are placed, they will appear at the bottom of the listing information page. Clicking on the order invoice number(s) will take you directly to the order.

Clicking on the "Refresh data from eBay" button at the top right will update the listing information and orders from eBay.

Additional Information
The automatic updates from eBay occur once every hour. The "Refresh data from eBay" will update on demand.

Once there, you can review, process and ship the order as usual to fulfill it. As the order's status is updated, it will then reflect as such on the item listing information page.

Additional Information
You can also process eBay orders from your regular order status queues. All orders originating on eBay will be displayed in your order queues with the prefix "eBay" before the invoice number.

Keep in mind however, that your store will not send emails to customers when the imported orders are processed and shipped. This is due to restrictions set forth (by eBay) preventing their customers from being contacted from 3rd party channels. Notifications sent to customers regarding their orders must be done through the originating interface - in this case, from eBay directly.

Your eBay order number

You’ll need your order number if you ever need to speak to us or your seller about a purchase. You’ll find the 12-digit order number in the following places:

  • Your order details
  • Your purchase history
  • Your order confirmation email

Where to find your order details

You can find all the information about a purchase, including shipping address, order number, and tracking details, in your order details. Follow these steps to find your order details:

  1. Select Purchase History - opens in new window or tab.
  2. Find your item in the list.
  3. Select View order details.

From here, you’ll also be able to let us know if the item hasn’t arrived on time, or start a return if there’s something wrong.

If you purchased your item as a guest, the order won’t appear in your purchase history. You can find your order details in your order confirmation email.

Your order confirmation email

Every time you purchase an item on eBay, you’ll receive an order confirmation email letting you know your order is complete and that your item should soon be on its way.

Your order confirmation email will contain your estimated delivery date, any available tracking information, and your order number.

If you can’t find it, check your junk folder. If it’s not in your junk folder, go to the Account - opens in new window or tab section of My eBay to confirm that your registered email address is correct. You’ll also find the information sent in the email in your purchase history - opens in new window or tab order details.

Tip
Each item also has its own unique item number. Sometimes called an item ID, the item number identifies each distinct item in your eBay order.

Buying as a guest

High shipping volumes are causing some delays. Please allow extra time after the expected delivery date before contacting the seller to let them know that your item hasn't arrived yet.

 

When you buy as a guest on eBay, you can still track your purchases and return items you’ve bought, but you won’t be able to use My eBay to keep track of your activity, message other members, or sell your unwanted items.

How to buy as a guest on eBay

Once you’ve found an item you’d like to buy, you can go to checkout to complete your purchase. Here's how:

  1. Select Buy It Now on the listing.
  2. Select Check out as guest.
  3. Fill in your shipping address, email address, and payment information.
  4. Select Confirm and pay.

You can buy without an eBay account as long as:

  • The item costs less than $5,000
  • The item can be purchased using Buy It Now. If you want to bid on an auction or send a Best Offer to a seller, you’ll need an eBay account
  • You pay for the item using PayPal, credit card, debit card, Apple Pay, or Google Pay

Your guest order confirmation email

When you buy an item as a guest, we’ll send you a guest order confirmation email, with the subject line “Order Confirmed”. You'll need this email to view your order details, contact the seller, track your order, or start a return if you need to send your item back.

Tracking an order as a guest

If your seller is sending your item using a tracked delivery service, you can follow your item’s progress all the way to your shipping address.

Here’s how to track your order as a guest:

  1. Find your eBay guest order confirmation email. The subject line starts with “Order Confirmed”.
  2. Select View order details.
  3. Select Show shipping details.

You’ll see a delivery status bar with a delivery company, tracking number, and the item’s current location.

If you don’t see the tracking information you can select Contact seller on the Order Details page and ask the seller if they will upload the tracking number.

Return an item you bought as a guest

If you need to return the item you bought, you can open a return request through the order confirmation email you received.

To start a return:

  1. Find the email with the subject line starting “Order Confirmed”.
  2. Select View order details.
  3. Choose Return item.
  4. Select your reason for returning the item.
  5. Select Next.
  6. If you like, you can add a message for the seller and add up to 10 photos.
  7. Select Confirm return.

Creating an eBay account

You can still register as an eBay member after you’ve bought an item as a guest. Your guest purchases will still be managed separately, but you’ll find all your future purchases in My eBay.

To create an account, select View order details in your guest order confirmation email and then select Register at the top of the page.

Once you've created an eBay account, you'll get all the benefits of being a member. You can:

  • access full order details
  • bid on auction-style listings
  • leave feedback
  • send messages to other eBay members
  • use My eBay to manage and track orders
  • access eBay community resources, such as discussion boards

Once the seller ships your item, you can keep track of its progress on its way to you.

Track your order

If your seller is using a tracked shipping service, you’ll be able to view carrier information as well as your order’s current location. If your item isn’t sent with tracking, you’ll be able to see the expected delivery date for your package.

You can also check your order’s delivery status in your Purchase history - opens in new window or tab. If the seller is using a tracked service, you’ll see the item’s tracking number as a link next to the item.

Tip
If the seller is using a tracked service but you can’t see a tracking number, they may need to upload the tracking information. You can contact the seller to ask them to add tracking.

Track a guest order

To track items you bought as a guest, you’ll need the order confirmation we sent to the email address you entered at checkout.

  1. Find your eBay guest order confirmation email. The subject line starts with “Order Confirmed”.
  2. Select View order details.
  3. Select Show shipping details.

You’ll see a delivery status bar with a delivery company, tracking number, and the item’s current location. If you don’t see the tracking information you can select Contact seller on the Order Details page and ask the seller if they will upload the tracking number.

Finding your sold items

How to find your completed eBay listings

You can find your sold items for the last 90 days in either Seller Hub or My eBay:

On eBay, we call items you’re selling “active listings” and items you’ve sold “completed” or “ended” listings.

eBay order number

Every time you complete a sale on eBay, you’ll receive a 12-digit order number. The order number does not replace the item number; it allows you to reference the entire order. You can find order numbers on the Orders tab in Seller Hub. We’re currently working on making order numbers available in My eBay.

Here’s how to search using the order number in Seller Hub:

  1. Go to Orders in Seller Hub.
  2. Select Orders from the dropdown menu.
  3. Choose a time frame to see orders for up to the last 90 days.

You can also search by order status—such as awaiting payment, awaiting postage, paid and posted, and awaiting feedback.

How to See Old Orders on eBay

If you conduct business through eBay by either selling or buying, then you may have reason to check your old order records from time to time. You can easily do this through your account under My eBay Summary. However, you should know that there will likely be limits to how much of your old information you can see. The time frame you have to view your orders for will typically vary between the items you’ve bought and the ones you’ve sold. To store records for the long term, you may have to maintain that data on your own.

  1. Log in

  2. The very first step is to head to your eBay account at www.myebay.com. When you log in, you will be automatically taken to your eBay summary page.

  3. Go to My eBay Orders

  4. If you would like to see a record of all the purchases you have made on eBay in the past, click on Purchase History. You'll then be directed to the purchases section, My eBay Orders. Once there you will see two buttons. Choose Recent to view your most recent purchases, or select Archived to see your archived purchases stretching back as far as three years. Note that you will only be able to see purchases made within that last three years. You can be even more specific about your time frame with both of these options by using a drop-down menu and selecting a time frame.

  5. View Sales

  6. If you would like to see a record of all the sales you have made on eBay in the past, click Sold to access a list of items you've sold. Once there you will see a drop-down menu from which you can specify the time frame within which you would like to see the record of your sales. Here, unfortunately, the record is even shorter than the one in the purchases section. Actually, it’s much shorter. You can only see your sales records as far back as 60 days.

As you can see, eBay is not a comprehensive records keeper for the transactions you make on the site. Luckily, there is a way you can maintain your own records in order to be able to see transactions you made much longer ago than three years. Read on for additional methods.

PayPal

If you make your purchases and receive payments for your sales using PayPal or any other online wallet, you can look at your wallet history to find transactions stretching back any period of time. Collect all of them and record them in an Excel spreadsheet to have all your records in one place.

Email

Every time you make a purchase or sale on eBay, you receive an email notification. To keep all your records in one place, you can archive these emails in their own special folder on Gmail or include their details in an Excel spreadsheet.

Purchase history is the central place to manage your orders. Simply select the More actions dropdown menu next to one of your purchases to see a list of options, including Contact seller and Return this item.

How to delete items in your purchase history

You can’t permanently delete items from your purchase history, but you can hide items you've bought in the last 60 days. Here’s how:

  1. Select the More actions dropdown next to the item you’d like to hide.
  2. Choose Hide item. If you hide something by mistake, simply select Undo.

How to find items you bought more than 60 days ago

You’ll see items you bought in the last 60 days when you go to your purchase history. To see older items you’ve bought, you can change the date range displayed.

Go to See orders from at the top of your purchase history and choose the year from the dropdown. Your purchases will automatically update to reflect the year you selected.
